Accounting & Operations Coordinator (Part-Time)

Location: Chicago-based

Hours: ~15–25 hours/week (Hybrid; in-person 1 day/week required)

Compensation: Hourly (based on experience)

We are a nimble, fast-growing, and relationship-driven team, and we’re looking to bring on a detail-oriented Accounting & Operations Coordinator to support our internal financial workflows.

About the Role

This role will support the financial and operational backbone of the business, ensuring all invoices, payments, and records are accurate, timely, and well-organized.

Key Responsibilities

  • Manage client invoicing across brand partnerships
  • Track and process talent payments accurately and on time
  • Monitor outstanding invoices and follow up with brand/agency accounting teams
  • Maintain organized financial records and internal trackers
  • Provide monthly payment updates to talent (clear, concise summaries)
  • Support reconciliation of payments and flag any discrepancies
  • Assist with bookkeeping and reporting alongside external accounting partners
  • Ensure all financial workflows are running smoothly and efficiently

What We’re Looking For

  • 1-2 years of experience in accounting, finance, business, or operations
  • Strong attention to detail and organizational skills
  • Comfortable working with numbers, spreadsheets, and financial tracking
  • Clear and professional communication skills (especially over email)
  • Proactive, reliable, and able to manage recurring processes independently
  • Ability to follow through and ensure nothing falls through the cracks
  • Familiarity with tools like Google Sheets, Excel, QuickBooks, or Bill.com is a plus
