Job Title: Account / Media Coordinator
Position Overview
The Account / Media Coordinator is a key member of the account and media teams, supporting paid media execution, reporting, public relations initiatives, and campaign coordination. This role is intentionally designed as a developmental position for future media buying responsibilities, providing hands-on exposure to campaign set-ups, vendor and client communication, reporting, traffic, and performance tracking across multiple client accounts.

Essential Duties & Responsibilities
Campaign & Media Set-Up Support
· Assist with campaign set-ups across paid digital media platforms
· Assist with paid media campaign activations according to approved strategies
· Gather, organize, and present research to inform campaign strategy and recommendations

Reporting, Tracking & Performance Support
· Assist with data entry and data transfers from vendors and clients into internal reporting agency reporting software or client facing spreadsheets
· Support campaign optimizations by helping analyze trends and client data
· Capture Proof of Performance materials, including launch screenshots, live placements, event posts, and sponsorship documentation for clients
· Maintain accuracy, organization, and quality control across all deliverables

External Vendor Communication & Coordination
· Support communication with external media vendors, including participation in select weekly or monthly calls as assigned
· Assist with gathering vendor updates, planning information and confirmations of placements.
· Help streamline vendor communication to support efficiency across the media team

Order Entry & Traffic Coordination
· Manage internal order entry within media software upon campaign approval
· Save and organize all orders and supporting documentation, following agency standards
· Learn and follow agency order entry processes to understand what we buy, why it matters, and how it impacts reporting and performance
· Support traffic coordination for accounts you are assigned to, managing templates, and ensuring deadlines are met

Account Management & Client Support
· Support account executives for assigned accounts, assisting with campaign execution across paid media, social, influencer, and event activations
· Help coordinate multiple tactics across diverse campaigns, gaining exposure to integrated marketing strategies
· Assist with internal coordination and client-facing support to ensure smooth execution
· Attend and participate in agency-managed events for assigned clients

Public Relations & Community Outreach
· Conduct outreach to community partners including schools, non-profits, and media outlets for PR opportunities
· Help coordinate PR initiatives tied to client promotions, seasonal campaigns, and events
· Maintain strong working relationships with internal team members and external partners

Additional Responsibilities
· Stay current on trends in advertising, paid media, social platforms, and PR
· Attend and actively participate in team, agency, and client meetings
· Contribute to idea generation, brainstorming sessions, and creative problem-solving
· Continue building knowledge of media buying fundamentals, platforms, and reporting workflows
