Job Summary
The Communications and Social Media Specialist (Specialist) is responsible for supporting the Communications and Engagement Department with communications and administrative tasks under the direction of the Director of Communications and Engagement Operations (Director).
Principle Responsibilities by Area
Social Media and Website
- Under the guidance of the Communications and Engagement Manager (Manager), support the creation of social media posting strategy and maintenance of calendars.
- Create social media materials and posts, secure content approvals, schedule and publish posts, and track metrics.
- Identify posts that require interaction/response, and work with the manager to issue responses on behalf of ASPPB.
- Monitor engagement and report on social media posts from external sources and platforms/listening tools that mention ASPPB and/or related themes.
- Assist in managing and updating social media accounts, keeping track of account information, and safely storing username and password data of ASPPB’s social media accounts.
- Under the guidance of the Director, track and catalog psychology influencers by audience size and type, and conduct targeted outreach as needed.
- Support the manager in creating images and graphics, optimizing search engine results, formatting articles for the website, and storing and tracking published materials
Communications and Engagement
- Support the manager and director in authoring internal communications, memos, announcements, and assist in creating content and editing ASPPB newsletters (Quarterly and Special Edition).
- Update/create communication forms, fact sheets, and templates.
- Manage and update media tables, track media publications, and create reports using Meltwater.
- Support the Communications team with media pitching, outreach, and reporting.
- Assist in editing promotional email drafts for day-to-day member communications and annual and midyear meetings.
- Manage the full cycle of Membership Dues and create reports accordingly.
- Manage Stripe – invoicing, reimbursements for MYM and AM jurisdictional members.
- Assuming other responsibilities as assigned.
Administrative
- Maintain Communications Staff meeting agendas and supports the team in task-monitoring and tracking.
Assist the manager in drafting, editing, and formatting documents, reports, presentations, and communications materials for ASPPB’s C-suite.
- Monitor the Engaged, Media, and News email inboxes, identify media and/or member requests, and work with the manager to route them internally or as needed.
- Manage incoming and outgoing emails, phone calls, and correspondence for the Communications and Engagement Department, and track them daily to ensure customer service needs are addressed.
- Support committees or work groups assigned to the Department by preparing agendas, creating and maintaining project tracking tables, taking minutes, and distributing follow-up action items for the Communications and Engagement Department.
- Organize and maintain digital and physical files, ensuring easy retrieval, organize department bills and invoices, and keep records of payments and transactions.
- Communicate with vendors to ensure the timely delivery of services and products.
- Other duties as assigned.
Skills and Qualifications
- Bachelor’s degree required.
- 1 to 3 years of previous Social Media management, Communications, Marketing, and/or Media Relations experience preferred.
- Strong written and oral communication skills.
- Strong proofreading skills and attention to detail.
- Ability to effectively manage competing priorities in real-time and provide quality customer service with overall attention to detail and deadlines.
- Excels within a team environment and approach to productivity and performance.
- Ability to perform job responsibilities with minimum supervision.
- Excellent computer skills with knowledge of Adobe and Microsoft© Office applications (Word, Outlook, PowerPoint, Excel) and familiarity with Meltwater monitoring services.
- Must be dependable and adaptable to operate within a fast-paced work environment.
- Knowledgeable of proper business correspondence, letter/email formats, record keeping, and filing systems.

Physical Demands:
Level 2: Requires sedentary work involving standing or walking for brief periods. Must be able to lift up to 15 lbs. at a time.
