Wedding Planner & Operations Manager
V. Sattui Winery is hiring a **Wedding Planner & Operations Manager**to proactively oversee all wedding functions at the iconic winery location in Saint Helena, California. This is a full-time exempt position.

V. Sattui Winery is a 4th generation family owned and operated winery in the heart of the Napa Valley. As one of only 5 wineries that is permitted to host weddings in the Napa Valley, wedding bookings and execution are an integral part of the success of the brand and the location. With full-service offerings including an array of spaces for ceremony through reception. We have been hosting weddings for over 35 years. Only one wedding is booked per evening with exclusive use of the property. Weddings are booked year-round with up to 60-75 weddings and elopements taking place on property each year. We are the only winery to feature a Michelin-starred Italian Chef for over 6 months out of the year that exclusively caters our weddings.

Summary of Duties:
Reporting to the Director of Winery Events, the Wedding Planner & Operations Manager* position assists in responding to online, phone and in-person wedding inquiries, providing accurate and timely information and following protocols and guidelines of the winery operations. The position also assists in conducting in-person site visits with the goal of selling the venue and maximizing bookings along with follow-up communication thru initial contracts and complete booking including internal paperwork and collecting payments. Once a couple is a confirmed booking, continue to maintain contact through the planning process including coordination with approved on-site/day of wedding coordinators, outside vendors and catering manager thru completion. The position acts as the lead V. Sattui contact for the couple throughout the planning process. The Manager is also responsible for the wine sales, invoicing and collection of all payments based on deadline schedules.

The job also includes marketing development and management of our advertising outlets and internal collateral.

As is common in the hospitality industry, you may be required to work early mornings, evenings, weekends, holidays, shifts of greater than eight hours and work weeks greater than forty hours per week.

Principal Duties and Responsibilities:

  • Oversee wedding planning operations at the venue. Ensure V. Sattui Winery Weddings core values and standards are consistently maintained and enforced.
  • Responding to all wedding inquiries in a prompt and professional manner, assisting clients on options best suited to both the couple’s needs and the winery’s successful operation while providing excellent service
  • Conducting site visits and follow up with the potential clients to secure future business.
  • Prepare contracts and invoicing and process all booking and collection of payments with attention to deadlines and accuracy.
  • Must be able to multitask and prioritize departmental functions to meet deadlines.
  • Regularly review minimums, pricing, offerings and review outside venues to remain competitive and accurate with pricing and identify new business opportunities.
  • Stay updated with industry trends, continually seeking opportunities from unique resources such as wedding professional associations, bloggers and influencers, vendors and sourcing sites.
  • Approach all encounters with guests and employees in an attentive, friendly, courteous and service- oriented manner.

Principal Duties and Responsibilities (continued):

  • Maximize efforts towards productivity, identify problem areas and assist in implementing solutions.
  • Must be effective in handling problems, including anticipating, preventing, identifying and solving problems as necessary.
  • Collaborate with marketing department to increase leads.
  • Collaborate with Chef and catering division for weekly updates and organization during busy wedding season.
  • Manage property calendar (meetings/appointments, event space, events, rehearsal times/space, etc.)
  • Conduct personal consultations, wedding planning meetings and final meetings for prospects and clients.
  • Execute and/or participate in weddings as needed including closing duties of the property
  • Other duties as assigned.

Physical Requirements

  • Ability to work on feet for extended periods (up to 6 hours) without a break.
  • Ability to lift a minimum of 25 pounds.
