Position Overview
Sarah’s Handmade Ice Cream, a mother–daughter-founded, community-driven brand, is seeking a creative, energetic, and organized Event Coordinator eager to learn from and support an Event Manager in growing our presence and deepening our community connections.
We’re known for crafting small-batch ice cream with all-natural ingredients and fresh local dairy — but our impact goes far beyond the scoop. From school fundraisers, scoop donations, and behind-the-scenes tours, to private catering, hosting small business pop-ups, and local collaborations, we believe ice cream is a way to bring people together.
This entry-level position is well-suited for recent graduates or current students with a May 2026 expected graduation date. The role will begin as part-time at 20-25 hours/week with the opportunity to become full-time.
What You’ll Do
Events & Catering
- Provide administrative support to the Event Manager and co-owners related to events.
- Maintain the events calendar.
- Respond to all incoming email inquiries in a timely fashion.
- Support the planning, coordination, and execution of community events, pop-ups (as hosts and as vendors), in-shop activations, and private catering events.
- Provide on-site and logistics support for events, including set-up, execution, and breakdown.
- Create on-site event materials, including flavor displays and other signage, on Canva.
- Assist in transporting, maintaining, and storing all equipment safely and according to the highest standards of hygiene and organization.
Partnerships & Community Engagement
- Liaise with schools, nonprofits, and local organizations for fundraisers and “Pints for a Cause” campaigns.
- Track donations of “Behind the Scenes Tour” tickets and attendee lists, and manage related communication.
- Support relationship-building with local businesses, vendors, and influencers.
Marketing & Impact
- Collaborate on promotional materials, website content, social media, and community outreach tied to events and catering services.
- Act as an ambassador for Sarah’s Handmade Ice Cream.
- Track and document community partnerships, contacts, event details, fundraiser results, and partnership outcomes.
What We’re Looking For
- Strong attention to detail, positive attitude, and willingness to learn in a fast-paced, dynamic environment.
- Excellent written and verbal communication skills.
- Experience or internships in events, hospitality, community engagement, or partnerships is a plus.
- Ability to drive and transport event materials to and from venues and stores as needed.
- Availability for evenings/weekends as events require.
