Position Overview
Valiatt Yachts is seeking a highly organized, proactive & creative Business Administratorto join our in-house team. This role is central to supporting daily operations, marketing initiatives, sales documentation, boat show execution & executive leadership. The ideal candidate thrives in a fast-paced environment, pays close attention to detail & is excited to contribute to a growing luxury yacht brand.

As we continue to expand our U.S. presence, our team plays a hands-on role in delivering elevated experiences, strong brand identity & seamless operations across sales, marketing & events.
Key Responsibilities
Administrative & Office Management
- Oversee daily office operations, scheduling & deadlines
- Manage office supplies & vendor coordination
- Serve as the primary communication hub for staff, clients & vendors
- Handle calls, emails & professional document preparation
Sales Support & Documentation
- Provide administrative support to the sales team
- Prepare & manage sales documentation, contracts & closing paperwork
- Assist with proposals, client follow-ups & internal coordination
- Maintain organized records of sales files & communications
Marketing & Sales Support
- Develop social media content & captions
- Assist with marketing strategy & brand growth initiatives
- Support B2B communications
- Edit & maintain website content
- Coordinate with social media influencers & content partners
- Manage videography & photography coordination
Boat Show & Event Coordination
- Manage vessel documentation & compliance
- Communicate with boat show organizers & vendors
- Track expenses & event-related costs
- Coordinate model casting & staffing
- Oversee vessel & booth setup, décor & breakdown
- Handle logistics for supplies & materials
- Provide onsite support & hospitality
- Coordinate post-show marketing & social content
Branding & Creative
- Draft, edit & format marketing & sales materials
- Ensure brand consistency across all materials & merchandise
- Coordinate photography, videography & creative assets
- Create presentations & professional documents
Executive Support & HR Coordination
- Support project management & process implementation
- Draft sensitive & high-level communications
- Develop job descriptions & manage hiring platform postings
- Assist with candidate screenings & interviews
- Coordinate employee onboarding
- Maintain confidentiality in financial & HR matters
- Anticipate leadership needs & keep priorities aligned
Qualifications & Skills
✅ Strong organizational & multitasking abilities
✅ Excellent written & verbal communication skills
✅ Experience with sales documentation & closing processes
✅ Marketing, social media, or brand coordination experience
✅ High attention to detail & discretion with confidential information
✅ Proficiency with digital tools, shared drives & project management platforms
✅ Marine or luxury industry experience is a plus
