About the job
The Marketing Coordinator provides administrative and creative support for all marketing, social media, communications, and on-property content needs for The Westgate Hotel and AquaVie. This role works closely with Sales, F&B, AquaVie, PR/Communications, and agency partners to ensure requests are tracked, content is gathered, and marketing deliverables are completed in a timely, organized, and brand-consistent manner.
This position supports day-to-day marketing operations and ensures continuity of workflows during periods of limited staffing or leadership absence.
ESSENTIAL DUTIES/RESPONSIBILITIES:
- Social Media Assistance
Westgate Hotel
- Schedule approved posts for Westgate Hotel social media accounts.
- Monitor engagement and respond to comments/questions. Work with appropriate managers to obtain accurate information.
- Collaborate with influencers and guests sharing Westgate Hotel content
Bonne Vie Brasserie & Bar
- Support behind-the-scenes content collection by liaising with F&B.
- Coordinate with Food & Beverage Manager to gather content, shadow marketing leads, and ensure quality standards.
- Upload approved imagery and coordinate content plan with Marketing Manager
AquaVie
Support behind-the-scenes content collection by liaising with AquaVie.
Organize galleries, assets, and approved content to assist AquaVie with scheduling.
Content Gathering, Editing & Distribution
Collect content (photos/video) from departments including F&B, Spa, Events, AquaVie, and Rooms.
Assist with copywriting and proofreading for marketing materials, internal flyers, social captions, menus, and guest-facing collateral.
Upload, label, and maintain organized content folders for photo/video assets.
Prepare content batches for review by Marketing Manager, PR, DOSC, or external agencies.
Project Coordination & Request Intake
Manage marketing request intake (email inbox, submission form, or Asana tickets).
Track requests by urgency (business critical* low priority), using the priority framework aligned with leadership:
- Business-critical
- High priority
- Lower priority
- Business-critical
Provide follow-up to departments with status updates and timelines.
Maintain weekly marketing task tracker
Event & On-Property Support
Work closely with PR agency to coordinate logistics for influencer visits, media stays, and PR-related activations.
Assist with influencer content needs, room setups, amenities, and coordination.
On-site support for photo/video shoots, including coordinating access, staging, and communication between departments.
PR & Communications Support
Assist with research and planning for media outreach and influencer collaboration, assisting Marketing Manager and the PR Agency
Coordinate communication with departments for requests.
Track influencer requests, ensure proper approvals, and help prepare day-of support.
Maintain internal records of PR deliverables, approved language, and press mentions.
Collateral & Digital Assets Management
Help update and distribute in-room collateral, brochures, etc.
Support printing logistics (ordering, print specs, vendor coordination).
Assist with AquaVie digital board content updates
Administrative & Cross-Department Support
Schedule meetings, prepare agendas, take notes, and track follow-ups.
Assist with quarterly marketing planning including photoshoots, new content creation,etc.
Maintain marketing calendars (campaign launches, holidays, events, influencer visits).
Support invoice coding, budget tracking, and vendor communications as needed.
Qualifications
Education & Experience
- 1–3 years of experience in marketing, social media, hospitality, communications, or administrative work.
- Hotel/spa/F&B experience preferred but not required.
Skills
- Strong writing, proofreading, and copy-editing skills.
- Competent in scheduling platforms
- Highly organized and able to prioritize multiple deadlines.
- Comfortable interacting with guests, influencers, and media.
- Basic design experience (Canva or Adobe) preferred.
- Tech-savvy with social media, digital assets, and content organization.
- Bilingual (English/Spanish) preferred.
