Role Overview

We're looking for a hands-on Finance Manager who will act as a bookkeeper, controller, and a team player on a day-to-day basis at this small, but mighty, multi-faceted agency. In this role, you will be responsible for managing daily financial operations, from bookkeeping and expense management to transaction review and reconciliation. This position plays a crucial role in maintaining financial accuracy and preparing essential reports for leadership. You will be an essential member of a passionate and supportive team that strives for excellence and has fun while doing so.

This is a flexible hybrid position based in Portland, OR, requiring a mix of in-office and remote work. While the role is currently fully remote, our agency recently acquired a new office building in Southeast Portland. Over the coming months, as our team transitions to this new space, you may be asked to work from the office on an ad-hoc (as-needed) basis.

Core Responsibilities

Financial Operations & Bookkeeping

  • Lead daily bookkeeping efforts and budget updates for all client program budgets.
  • Oversee and reconcile agency credit card activity within QuickBooks, ensuring accurate journal entries.
  • Schedule and process payroll for full-time employees in Gusto.
  • Audit the existing expense report process for the CEO and implement updates as needed.
  • Prepare and book monthly expense reports for the CEO in Quickbooks.
  • Review vendor contracts and spend.
  • Review and reconcile Meta Ad and FedEx reports for accuracy and proper allocation.

Accounts Payable and Receivable

  • Manage accounts payable, including vendor payments through Ramp and other company bills.
  • Prepare and dispatch client invoices.
  • Manage accounts receivable, including payments from clients.

Reporting & Reconciliation

  • Perform end-of-program budget reconciliation.
  • Close program books.
  • Prepare and present final budget overview reports to agency leadership.

Tax Prep & Compliance

  • Collaborate closely with the Head of Operations and external accounting firm for 1099 processing.
  • Maintain an accurate database for required vendor documentation, inclusive of Form W-9s and subcontractor insurance.
  • Prepare all necessary documentation for the annual subcontractor audit required for our Worker's Compensation insurance policy.

Financial Systems Management

  • Conduct an audit of existing systems, templates, and ways of working, flagging improvements and suggestions as needed.
  • Confirm remittance advice and accurately book paid invoices in QuickBooks.
  • Ensure seamless integration and synchronization between QuickBooks, Ramp, and Gusto.
  • Accurately book CEO expense reports into QuickBooks.
  • Manage cash flow for accounts linked to and funding the Ramp platform.
  • Conduct weekly reconciliation of Ramp transactions.
  • Act as the final approver for all invoices, transactions, and reimbursements submitted through Ramp.
  • Review and code all transactions and reimbursements within Ramp.
  • Issue company credit cards to new hires.

Qualifications

  • Bachelor's degree in Finance, Accounting, or a related field.
  • 3-5+ years of professional experience in a finance or accounting role, preferably within a small to medium-sized business, creative agency, or similar dynamic environment.
  • Proficient in Quickbooks and Google Workspace Suite.
  • Experience with modern financial management platforms (e.g., Ramp, Gusto).

  • Ability to work independently, manage multiple priorities, and meet deadlines in a fast-paced environment.
  • Strong communication skills, both written and verbal, with the ability to present complex financial information clearly to non-financial stakeholders.
  • Proactive, resourceful, and eager to implement efficient financial processes.
  • Office operations experience is helpful, but not mandatory.

We sometimes work strictly 9-5, or sometimes we can be night owls; we keep our cameras on for video calls, but you’ll usually find us in sweatshirts or workout clothes.
